Microsoft 365 gives businesses several ways to store and share files.
That is helpful, but it can also be confusing.
Employees may ask:
Should this file go in OneDrive?
Should it be in Teams?
Is SharePoint the same thing as Teams?
Can I just email the attachment?
Who has access to this folder?
When file storage is unclear, businesses can end up with duplicated files, missing documents, oversharing, permission problems, and frustrated employees.
Here is a simple way to understand SharePoint, OneDrive, and Teams.
OneDrive is best for personal work files.
These are files an employee is working on that are not yet ready for the whole team.
Examples include:
OneDrive is tied to the individual user.
That means businesses need to be careful when employees leave. Important company files should not only live in one person’s OneDrive.
SharePoint is best for company and team files.
These are files that belong to the business, department, or project team.
Examples include:
SharePoint is better for structured file storage, permissions, and long-term company access.
For many businesses, SharePoint replaces traditional shared drives.
Teams is a collaboration tool.
When you create a Team and share files inside it, those files are usually stored in SharePoint behind the scenes.
Teams makes collaboration easier because employees can chat, meet, and work on files in one place.
But Teams should still be organized carefully. Too many Teams and channels can create confusion.
Use this rule:
OneDrive is for individual work.
SharePoint is for shared company files.
Teams is for collaboration around shared work.
If the file belongs to the company, it should probably be in SharePoint or Teams, not only in someone’s OneDrive.
Many businesses still send documents back and forth as email attachments.
This can create version confusion.
One person edits one copy. Another person edits another copy. Someone saves the wrong version. Sensitive files may be forwarded outside the company.
Microsoft 365 makes it easier to collaborate on one shared file instead of sending multiple copies.
File organization is not only about convenience. It is also about security.
Not every employee should have access to every folder.
Review permissions for:
Poor permissions can expose sensitive data.
SharePoint and OneDrive make it easy to share files externally.
That is useful, but it needs controls.
Review:
External sharing should support business work without putting data at unnecessary risk.

SharePoint, OneDrive, and Teams are powerful tools, but they need structure.
Without a plan, files become messy and permissions become risky.
